The MarginEdge Card will capture the transactions, but it's the receipts that help keep your accounting clean and exports complete!
Transactions without receipts:
- Cannot be fully categorized
- May delay accounting review
- May not export properly to your accounting system
💡 Best practice: Review missing receipts regularly to avoid cleanup work later.
Using the Dashboard
When opening the "Card" section in [me], it will automatically display the "Transactions" tab.
*Reminder that [me] Admins and Accountants can see all transactions, cardholders can only see their transactions.
Filter and Search
- To quickly see transactions in a certain date range, or to filter by Status such as "Missing Receipt", use the drop down menu options.
- Transactions without a receipt are automatically tagged with a "Missing Receipt" status
- Once a receipt is uploaded, the transaction status updates to "Complete".
- To upload the receipt or review a transaction, find the transaction you want to review and click into the transaction to view details.
Uploading Receipts
When a cardholder makes a purchase with their card, they can opt-in (through their personal user settings) to receive a text notification, offering an initial reminder to upload the receipt.
As long as the receipt date falls within 3 days of the transaction date and the payment account matches the card, the receipt will auto-match to the card transaction.
To Upload the Receipt:
- Upload via the Card Dashboard: Head to the [me] Card section and click into the transaction to view its details. Upload your receipt directly there.
- Reply to the Text with a Quick Photo: You can snap a picture of the receipt and text it straight from your phone. No logging in required—just make sure you respond directly to the text message you receive asking for the receipt.
-
Jot a Note on the Invoice: For now, if you prefer uploading invoices outside of the Charge Card workflow and instead through the standard [me[ channels, simply write "Paid with Mastercard - xxxx" directly on the bill. Just be sure to include the last 4 digits of the card so our processing teams spot it as a [me] card charge.
- This is going to be necessary to handwrite for any invoices that are uploaded without a clear confirmation of the payment account used.
PRO TIP: If for some reason the receipt date is more than 3 days before or after the transaction date, or the Payment Account is not showing as the card after submitting the receipt, you can open the Order in MarginEdge and edit the date and the payment account to force an auto-match.
Common Questions
Will I get an alert to let me know I'm missing a receipt?
The cardholder can opt-in to receive a text message when the transaction is made. You can enable this from your user settings.
As a cardholder, you can respond to that message with the receipt image, or upload it through the [me] app or dedicated email address. All transactions with missing receipts can be viewed from the card dashboard. After this first message, there are no additional messages or notifications for missing receipts.
How do I make it auto-match?
If you have submitted the receipt to MarginEdge, but for some reason the receipt date is more than 3 days before or after the transaction date, or the Payment Account is not showing as the correct corresponding card account, you can open the Order in MarginEdge and edit the date and the payment account to force an auto-match. Go to your Orders page from the main navigation and find the order to open and edit it.
I don't want to create a new vendor for every little card purchase, I just want to capture the category-level expenses.
If you want to be able to have a generic vendor in [me] that can absorb various category-level expenses, please reach out to help@marginedge.com. Let us know you want a generic vendor for your MarginEdge Card purchases. Once we create that vendor for you, you will be able to create a manual category-level invoice within [me] for these purchase; when you use the same date as the transaction date, it will auto-match and mark as "Complete".
What if my transaction was charged to the wrong [me] store?
If a transaction landed in the wrong unit and you have [me] access to both locations, you can move it from within the order itself.
- Go to Orders in the navigation bar
- Select the order
- Click "More Actions" button at the bottom of the screen
- Select "Move Invoice" and choose the appropriate location
