In an ideal world, all of your bottles have barcodes and those barcodes are already in our (giant) database and everything matches up and moves along at a nice hum. Yes, please! But, well, we know that's not the world we live in. You will likely have new products on the shelf in your bar and some of these items may be unknown to MarginEdge. So here's the info for what to do when:
- You scan a bottle and scale says it's "Missing Weights"
- You scan a bottle that the scale does not recognize
- You want to scan a bottle with no barcode
A first-time Bottle Scan - message shows “Missing Weights”
The good news is we recognize the barcode and know the bottle name, we just don't know it's full and empty weights and need your help.
When this pops up, click "Add Weights"

Accurate full and empty weights are the only way to have meaningful partial weights. Here's how:
- If this is a new bottle, click “Weigh full weight” and place it on the scale. Once that is saved, you can then can click “Estimate empty weight” to complete this.
- If this bottle is neither full nor empty and you don't know the actual full weight, you can enter some estimates for now. To do this, please use our tool for calculating weights. Click here for an online calculator or scroll down to the bottom to download an Excel version of the Bottle Calculator if you want to work offline.
- Tap "Save" to complete!
- We recommend you make a note for yourself - or put a sticker on the bottle! - to weigh it when it’s empty so you get the most accurate data readings! When you're ready to update, see this article.
Brand new-to-the-scale Bottle - message shows “Unknown Item”
Looks like it's the first time we have seen this barcode! We need you to enter some baseline information so we can get an accurate weight and send this information to MarginEdge for our team to try to match it with one of your existing products.
The scale will allow you to enter the critical information needed right on the spot in order to get it counted. After it's entered once, it will be saved in the system and you won't have to do it again.
After you scan a new item, tap “Add Unknown”

Enter the Description and tap Done
(Please be thorough and accurate - avoid acronyms or nicknames) -
Enter the Volume (in mL) and tap OK
Remember that 1 L = 1000mL Choose the Category
Choose the best fitting Sub-Category (we know you don't have every option here!)

Enter the Full Weight and Empty Weight using one of the following options:

No Bar Code will default to NO, you can leave this as is for any item that has a barcode.
- HOWEVER, if you are trying to create a new product for an item that doesn't have a barcode, switch the "No Barcode" field to YES!
- If an item doesn't have a barcode, you must enter a value in the UPC field. It can't be left blank and these numbers can't be repeated, so be sure to pick a unique number (we suggest starting with a big number!)
Click SAVE.
Now that the data is entered, RESCAN that bottle and get the weight for your inventory count!
A Bottle with No Barcode
Your scale can create a short list of your bottles without barcodes. These instructions explain how to access that list for quick and easy counting.
If this is a brand new bottle you have never counted before, below you will learn how to add this new item.

From the "Ready to Scan" screen, tap the “Items with No Barcodes” button
Scroll or use the search bar to choose the item from the list that pops up.
Weigh the bottle as usual and then move on to the next bottle!
If this is a bottle you have scanned before but the barcode is now inaccessible for scanning, the “Full Inventory List” can be manually accessed to select an item for weighing.
If this is a brand new bottle you have never counted before, tap "Add" from the bottom of the screen and follow the steps to add a new item.
Once you've selected "Add" from the table of items without barcodes, tap "Type UPC"
Tap "Auto Create UPC". This will generate a dummy barcode.
Tap "OK"Now you will be able to configure the barcodeless bottle!
