In MarginEdge, there are several types of user accounts, each with varying permissions within the system. Below is a list of core user permissions and their descriptions, listed in general order of feature access, starting with the roles with the least access. Following that is a full spreadsheet detailing all permissions.
Overview
"User" A "User" can upload invoices, place orders, enter inventory counts, and view most operational information in [me]. They cannot add, edit or remove products or recipes, nor can "users" setup, close or delete inventories. This role is typically used by in-store non-managerial staff.
"Sous Chef" The “Sous Chef" is a modified version of the user role. Users with this role have the additional ability to add, edit, delete and upload pictures for recipes, but only for recipes restricted to their restaurant unit, not for any other restaurant in a restaurant group. If they are not a "Sous Chef" in every unit in a multi-unit company, they cannot edit a recipe set with "Global" permissions. Any recipes they create are automatically restricted to their restaurant.
"Manager" A "Manager" in [me] has all the privileges of a "User" plus they can add or edit count sheets, close, re-open, and configure inventory, and add other "Users" or "Managers".
“Franchisee Accountant” A “Franchisee Accountant” is a hybrid role between the “Manager” and “Accountant” role. This role has all the same permissions as the “Manager” and “Accountant” role, with the exception of view-only access to portions of the accounting categories page and PMIX Mapping.
"Accountant" An "Accountant" can view most operational information (products, recipes, inventory), plus has access to all accounting-related screens, such as Export, Categories, Bill Pay and all mapping pages, such as Category Mapping and Vendor Mapping.
"Restaurant Admin" The “Restaurant Admin” role has access to all parts of the orders, performance, vendors, inventory, products, recipes, and setup feature. This role does not have access to accounting, Bill Pay, and labor features.

Add-on Roles:
- PMIX Mapper - gives additional permission to a User, Sous-Chef or Manager to do PMIX mapping.
- Bill Pay User and Payment Approver - optional roles related just to the Bill Pay feature
- Payroll Manager and Shift Approver - in order to access Labor data in their restaurant, users who aren't a MarginEdge Admin must be assigned one of these two labor roles
Multiple Roles
A user can have multiple roles in MarginEdge. Some common combo platters are:
- Manager + Sous Chef - to allow for the manager to have additional permissions to add recipes
- Accountant + Payroll Manager - to give the additional permissions to manage Labor data without having to make the user a MarginEdge admin.
- Restaurant Admin + Bill Pay User - adds the ability to see and manage the Bill Pay section
As the examples above show, there can be great reasons to assign multiple roles to a user. But beware! The restrictions from the lower roles will always override the allowances of the higher order roles. So if you combine Sous Chef + Restaurant Admin, you will only have the permissions of the Sous Chef and will not get the benefit of being a Restaurant Admin. If you are expanding a user's permissions, always be sure to remove the previous role and only select the highest role needed. If you are unsure, try to choose one role for the user that has the restrictions you need, but still allows access to the tasks you want that person to be able to accomplish.
To give someone multiple roles, you must hold either the "Ctrl" key on a PC or the "Command" key on a Mac while selecting the roles.
Changing a User's Permissions
A user can give another user the same level of access or a more restricted role than they have. By policy, the MarginEdge support team will not adjust user permissions, so please follow the steps in this article, or ask your MarginEdgeAdmin to adjust your permissions.
