This article is useful only AFTER you have enrolled some vendors for Statement Reconciliation. Once a vendor is set up, you will be able to follow the instructions below to:
- Manage the statement reconciliation contact for your restaurant
- Manage the statement reconciliation contact for your vendor
- Turn on auto-request statements for a vendor
- Disable statement reconciliation for a vendor
From the Bill Pay > Setup screen, you will see a box to control Vendor Reconciliation Settings.
Clicking the “Manage Statement Reconciliation Settings” button will take you to a page listing all of your vendors and noting whether Vendor Statement Reconciliation has been enabled.
Manage Your Restaurant’s Reconciliation Contact
Above the table is a button to "Manage contacts". Clicking this will allow you to select (or edit) the team member at your restaurant who should be notified when there is a missing Invoice or Credit.
Vendor’s Reconciliation Settings
If you want to edit a vendor’s settings, click on the table row for that vendor. This will take you straight to the Edit Vendor page for that particular vendor. (You could also access this page by clicking Vendors > Vendor and then selecting the vendor from that table.)
Once on the Edit Vendor page, scroll down to see the Statement Reconciliation options.
(Note that you cannot edit the "Reconciliation Start Date".)
Manage Your Vendor’s Reconciliation Contact
Here you can add (or modify) the email address for your vendor contact who will be working with you on statement reconciliation. We will use this email when requesting statements, requesting missing Invoices or Credits, or disputing discrepancies
Auto-request Statements
Enable auto-request to avoid uploading vendor statements to MarginEdge yourself. To turn it on, simply choose how often you want to kick off statement reconciliation (weekly, bi-weekly or monthly). Then, we will automatically email your vendor’s reconciliation contact requesting they send your statement directly to us.
Once turned on, you can monitor when we last requested a statement from your vendor on the Bill Pay > Reconciliation screen.
Note: Auto-request statements is turned off by default.
Turning Off Statement Reconciliation
If you no longer wish to reconcile statements for this vendor, simply uncheck the “Reconcile statements from this vendor” checkbox, and click “Save.”
Save Your Changes
Whatever changes you make, don't forget to click "Save"!
